• Kristel Mägi

Writes about buying from suppliers and what their paperwork says

Kristel spent eleven years on the buying side of food and drink distribution in the Baltics, the last four of them running a purchasing desk that received several hundred supplier invoices a month. She writes about the documents suppliers send, the numbers on them, and the small differences that add up.

  • A promotion that did not reach the invoice
  • A price list in Excel: the figures that are not what they look like
  • The invoiced price does not match the quote: seven checks in order
  • Food inflation eased in August and supplier lines did not follow
  • A billing error is measured against the margin, not against the invoice
  • The letter that gets a credit note
  • The increase letter and the next price list rarely agree
  • How to check an invoice against a price list (and what a spreadsheet misses)

• Tomás Reyes

Writes about e-invoicing, Peppol and the rules that reach a small buyer

Tomás followed the arrival of electronic invoicing from Spain's SII to the mandates now rolling across the EU, first as a consultant to exporters and then as the person who had to make the formats work in a small trading company. He writes about what the regulation asks of a buyer and what it changes on the invoice itself.

  • Greece moved the last phase of its B2B mandate to 2 November
  • The Netherlands chose a domestic mandate, and set it for July 2030
  • Receiving invoices through Peppol without an ERP
  • The matching module waits for a price file nobody keeps
  • The Polish invoice lives in KSeF, and the copy is what reaches you
  • France switched on invoice reception on 1 September
  • PDF invoices are going away in the EU: what changes for a buyer

• Anna Lindqvist

Writes about accounts payable and the checks a small finance team can afford

Anna ran accounts payable for a Nordic wholesaler before moving to the software side of the same problem. She writes about three-way matching, price-list versions, and what a two-person finance team can check by hand and what it cannot.

  • What an invoice error costs, and which figures survive checking
  • The Excel sheet that checks an invoice, and where it stops working
  • Approval is a signature on a total, not a check of the lines
  • The price list that applies is the one in force on the day of delivery
  • Seven accounts-payable controls, ranked by what they catch
  • Three-way matching without an ERP
  • Parseur, Docparser, Mailparser: a parser is not an answer
